I Can't Edit My Rejected Forms

If you can't edit a Payer or Recipient because you get the error "Filings Are In Progress" here's a workaround.

When forms are submitted for eFiling they lock to maintain the official record. The Payer, Recipient, and Form can’t be edited.

If you file W-2s and 1099s for the same payer, you might sometimes find that the SSA rejects the forms while the IRS accepts them, and parts of the form (like Payer Name) are uneditable.

Option 1: If forms are Processing/Submitted

Wait for the other agency to return results.

If the forms have already been sent to the agency, we can't retrieve them. We can't unlock some forms while maintaining a record of what was submitted.

Option 2: If you need to send in new forms to another agency.

The only way to change the Payer information before you submit more forms is to make a new Payer. Let's walk through the process:

  1. Go to the Payers page and make a new Payer.

  2. You’ll get a duplicate warning message, but you’ll still be able to save the new Payer. It’s helpful to add a 1 at the end of the name to indicate which is new. (We’ll remove it later)

  3. Go back to the old Payer and use the Copy To Payer button to copy them one at a time to the new version of the payer. Check the box for the recipient, click Copy To Payer, and select the new version of the payer (the one we added 1 to the end of its name).

  4. Make your new forms with the new Payer1

  5. When you’re ready, go back to the Payers page, click on Payer1, click Edit, and remove the 1 from the name. This will update all the forms you’ve already made.

  6. Return to the Forms page to submit the forms. The forms with the Ready status are your new versions. You won't be able to submit the ones in Rejected status. The credits you got when the forms were rejected can be applied to any submissions.
