Rejection Reason: TIN and Name Must Match IRS Records

What to do when your form gets rejected for a TIN and Name mismatch

Did you get one of these messages?

“If Person Name has a value, then TIN and Person Name must match IRS records.” This means the Payer’s SSN and name you entered on your forms do not match what the IRS has for that Tax ID and name. You do not need to file a correction. Just update the forms and resend them. We have added credits to your account, so you will not be charged at checkout.

Step 1: Confirm the name and tax ID on file with the IRS

To find the official name the IRS has on record for your Employer Identification Number (EIN), locate your original CP575 EIN Confirmation Letter sent when the number was issued. If unavailable, you can request a Business Tax Transcript online, check state business filings, or call the IRS Business & Specialty Tax Line.

Step 2: Update the Payer's Name or TIN

Navigate to the Payers page

Click on the payer's name in your Payers list

Click Edit

Update the First and Last Name fields to the person associated with the SSN or EIN. Note what type of TIN is also checked by the IRS. If you have a Payer using an SSN, you must use the first and last name associated with the SSN, you can move the business name to Payer Name Line 2.

Click Save and all the forms associated with that Payer will be updated.

Your forms will now move to Ready status. If they do not, open and resave the forms to trigger the status update.

You can now Replace your form. Replacing your form will maintain the original submission date with the IRS. Be sure to use the Replace Rejection button or dropdown action to use this option.

Warning: Clicking Submit & eFile will send the form as a new original filing with that day's date. You will lose your original filing date with this option, but it won't create a duplicate submission because your first filing was rejected.

Replace Rejection will take you to a modified checkout process. You should not be charged unless you add on a delivery option like Mail Delivery. A credit was applied to your account when your form was rejected.
