The Recipient Directory lists every recipient on your account, across all your issuers. You don’t have to open each issuer to find its recipients. You can search, link recipients to issuers, and manage them all from here.
Open the Recipient Directory
Go to Recipients. The Recipient Directory opens on the All recipients tab.
What each column shows
Recipient: the recipient’s name and type, whether they’re Active or Inactive, and the date they were added (or last updated). Click the name to open the recipient.
TIN and TIN type: the recipient’s tax ID and whether it’s an SSN, EIN, or ITIN.
TIN Status: the result of the recipient’s latest TIN check.
Linked issuers: how many issuers the recipient is linked to. One recipient can be linked to several issuers.
How do I find a recipient?
Type all or part of a name in the Search recipients box. The list updates as you type.
Narrow the list with Sort, Filter (by TIN status), and All issuers. Turn on Show inactive to include inactive recipients.
For details on each option, see [Filtering & sorting records].
How do I see or change a recipient’s linked issuers?
In the Linked issuers column, click the count, such as 1 Issuer.
Review the linked issuers. To remove one, click Unlink next to it.
To link another issuer, type its name in Search issuers and choose it from the list. Don’t see it? Click + Add a new issuer.
Click Save, or Cancel to close without changes.
Before you unlink:
Unlinking can delete forms. If the recipient has unsubmitted forms for that issuer, Helper asks you to confirm Delete unsubmitted forms? Those forms are permanently deleted when you click Delete forms and unlink. Filed forms aren’t affected.
Every recipient needs at least one issuer. You can’t unlink a recipient’s only issuer. Link another issuer first, or delete the recipient.
The Actions menu
Click Actions on a recipient’s row and choose an option.
View Recipient: opens the Edit Recipient page. See [Need to manually edit a Recipient? No worries.]
Link Recipient: opens the same Linked Issuers window as the Linked Issuers column.
Mark Inactive: marks the recipient inactive.
Delete: deletes the recipient.
Work with several recipients at once
Check the box next to each recipient you want to work with.
Choose an action in the bar at the bottom of the screen: Unlink from issuer, Link to issuer, Mark active, Mark Inactive, TIN Check, or Delete.
Add or import recipients
Add one: Click Add New Recipient, choose the issuer, and fill in the details. See How to Add a Recipient Manually.
To add many recipients at once, click Import Recipient. The Import Center opens, where you can choose Recipient only and upload a template.
What is the Pending W-9 tab?
The Pending W-9 tab is not available yet. W-9 collection is coming in a future update.
Now you can manage every recipient on your account from one page.
